Calendly alternatives for therapists (2026)

Calendly deserves its reputation. For a sales call or a mentoring chat it is close to perfect: share a link, someone picks a time, done. Plenty of therapists start their practice on it for exactly that reason, and if all you need is a shared calendar link, you can stop reading here.

Most practices outgrow it, though, and usually for the same five reasons. Disclosure before we go further: this guide is published by ProTherapy, which appears in the list below. We have tried to be fair to everyone, including Calendly.

Where Calendly falls short for a therapy practice

  • The booking is disconnected from the client.Calendly knows about events, not people. Session four with a long-term client looks identical to a stranger's first call. Your actual client history lives somewhere else, so you maintain that somewhere else too.
  • Payments assume cards. Calendly collects payment through Stripe or PayPal. In an Indian practice where clients pay by UPI, bank transfer or cash, the payment happens outside the tool, which means you reconcile who has paid in a spreadsheet or from memory.
  • Reminders go where Indian clients do not look. Email and SMS. WhatsApp is where Indian clients actually see reminders, and it is not on offer.
  • Intake is bolted on. You can add questions to a Calendly booking, but the answers land in an email or a linked form tool, not in a client record next to your notes.
  • No concept of confidentiality. Not a criticism, just a fact: it is a generic scheduler. There are no clinical notes, no encryption designed around therapy, nothing DPDP-specific.

The alternatives

Best for: Indian therapists replacing the whole stack, not just the scheduler. Our tool. Zoho Bookings

Best for: practices already inside the Zoho ecosystem. Indian company, rupee pricing, and it connects to the rest of Zoho if you already run your life there. It remains general-purpose business scheduling: fine for appointments, silent on notes, client history and therapy workflows.

Setmore

Best for: simple free scheduling for a small practice. A likeable, simple booking tool with a usable free tier and payments via card processors. Same story: good scheduler, not a practice tool.

Topmate

Best for: monetising sessions as a creator, not running a practice. Popular in India for selling 1:1 time, and its UPI-friendly payment collection is genuinely convenient. But it is built for creator monetisation: public pricing pages, follower funnels, platform commission on earnings. A therapy practice has different needs around privacy, continuity and client records, and Topmate stops at the booking.

SimplePractice

Best for: US-based or USD-billing practices. The full American practice suite: scheduling, notes, telehealth, billing. It solves the disconnected-booking problem completely. For India the friction is dollar pricing, card-and-insurance payment assumptions, and no WhatsApp.

How to decide

  • If you want a scheduler, pick a scheduler. Cal.com is the best pure Calendly replacement, and Zoho Bookings makes sense inside Zoho.
  • If the spreadsheet is the real problem, replace the stack. When you are juggling a scheduler, WhatsApp, a form tool and payment tracking, the win is one tool where booking, intake, payment and reminders connect to an actual client record.   • Count the commission. Percentage-based platforms are cheap at low volume and expensive exactly when your practice succeeds. A flat subscription inverts that.
