Best practice management software for therapists in India (2026)

Most lists of therapy practice software are written for American clinics. They rank tools by insurance billing and HIPAA checklists, price everything in dollars, and assume your clients pay by card. If you practise in India, half of that is irrelevant and some of it is actively wrong for you.
This guide compares the tools Indian therapists actually shortlist. One disclosure up front: ProTherapy, one of the tools below, publishes this guide. We have tried to be straightforwardly honest about the others, because several of them are excellent and might fit you better.
What matters in India specifically
- Payments the way your clients actually pay. In most Indian practices that means UPI, bank transfer or cash first, cards second. A tool that only knows Stripe or insurance claims makes you do payment tracking in a spreadsheet anyway.
- WhatsApp, not SMS or email. Reminders that arrive where Indian clients actually look measurably cut no-shows. US tools send SMS and email.
- Pricing in rupees. USD subscriptions for US suites typically work out to several thousand rupees a month once converted, often more than an Indian therapist charges for a session.
- Data residency and DPDP.India's Digital Personal Data Protection Act is the law that applies to your practice. HIPAA compliance is neither necessary nor sufficient here, and it matters where clinical notes physically live.
- Client habits. Households often share phone numbers, clients book from abroad in other timezones, and nobody wants to install an app before a first session. Small things, until they are not.
The tools
ProTherapy

For Indian practices the friction is structural rather than qualitative: USD pricing, insurance-claim workflows you will never use, no UPI, and SMS/email reminders. If most of your clients are in the US and pay in dollars, it deserves a look.
TherapyNotes
Best for: documentation-heavy US practices. Its note templates and record keeping are widely liked, and behavioural-health clinicians in the US rate it highly. The India-fit problems are the same as SimplePractice: dollar pricing, insurance-centric billing, and no Indian payment rails.
Zanda (formerly Power Diary)
Best for: multi-practitioner clinics with international clients. Australian-born and more international in outlook than the US suites, with strong calendar management across practitioners and locations. Pricing is still in foreign currency and the payments story is card-first, but for a growing clinic with several practitioners it is a serious option.
Carepatron
Best for: getting started free. A general health-practice tool with a generous free tier covering scheduling, notes and basic billing. It is not therapy-specific or India-specific, and you will hit the usual payment and reminder gaps, but as a zero-cost starting point it is hard to argue with.
PractiPal
Best for: an India-built alternative worth evaluating. Built for Indian mental-health professionals, which means it starts from the right assumptions about payments and pricing. Evaluate it alongside ProTherapy and pick whichever workflow fits you; an India-first tool of either stripe will serve you better than a US suite you fight daily.
Therasoft India
Best for: counselling practices that want marketing features bundled. An established Indian counselling practice suite that bundles management, billing and marketing. The interface shows its age in places, but it understands the Indian context.
CleverPsych
Best for: free desktop software, if you accept the trade-offs. Free software for psychologists covering clients, appointments and reports. It is desktop-based rather than cloud-based, so there is no client booking page, no reminders and no phone access; you are the backup strategy. Free has a cost in hours.

"Check" means: verify on the vendor's current plans before deciding. Features change, and we would rather say so than guess in a table.
How to choose
- Start from your payment reality. If clients pay you by UPI or cash, any tool without offline payment tracking will leave you reconciling in a spreadsheet. That defeats the point.
- Count the tools you are replacing. The value of practice software is retiring the Calendly-plus-WhatsApp-plus-Google-Forms-plus-spreadsheet stack. If a tool only replaces one of those, keep looking.
- Ask where your notes live. Clinical notes are the most sensitive data you hold. Prefer encryption, prefer data stored in India, and prefer a vendor that can say clearly who can read what.
- Trial with real clients. A week of real bookings tells you more than any comparison table, including this one.
